Inside the Punch List: What Architects Check and Why It Matters

At Hayne Architects, our design process is full-service from concept through completion, and that includes the final critical step: the punch list.

As we near the finish line on our Family Locker Room renovation at the Claremont Club, our team is focused on one thing: details. This is where the punch list comes in—a comprehensive document that ensures every last element of the design is completed to the highest standards before the project is officially handed over.

What Is a Punch List?

A punch list is a curated checklist of items that need to be completed, corrected, or reviewed before a construction project is considered fully finished. It typically includes:

Minor repairs, such as touch-up paint or hardware adjustments.

Missing or incomplete installations, such as light fixtures or trim work.

Finish issues, such as tile alignment, grout color corrections, or countertop caulking.

Functionality checks, such as ensuring doors swing properly and plumbing fixtures operate correctly.

What We’re Looking for at the Claremont Club

In our recent walk-through of the Family Locker Room, we looked at every corner with a critical eye. Among the items we flagged:

Quality of Hardie®  “box beam” installation.  This will need to be redone following the manufacturer’s installation requirements before it is painted.

The floor clean-out installation is not complete.  Contractor will need to install the tile-in clean-out access.

Gaps and alignment of the mahogany trim will need to be fixed for a flush finish between the line of the tile wainscot and the edge of the wood trim.

Clearance issues at the accessible roll-in shower will need to be fixed to meet code compliance.  The linear drain will also need to be reinstalled to be the full width to match the plans.

Each of these items, no matter how small, contributes to the final experience of the space—something especially important in a high-traffic, family-focused facility like this.

Why It Matters

The punch list isn’t just a formality. It’s a quality control process that protects the investment, vision, and integrity of the project. It also ensures that the client receives a fully realized design that performs as beautifully as it looks.

By identifying and documenting outstanding issues before final occupancy or grand opening, we avoid surprises later and uphold the high standard Hayne Architects strives for.

How We Document

To ensure clear communication and accountability, we photograph every punch list item during our site visit and create a visual checklist that’s shared directly with the general contractor and all relevant trades. Each item includes:

A photo

Location reference (room or elevation)

Description of the issue or outstanding work

Responsible party

Deadline or follow-up action item

This method keeps everyone aligned and creates a transparent, trackable system that moves us toward final sign-off with confidence.
