New Year, Better Us: Out Of Office Goals

In this week’s post, we will carry on with our “New Year, Better Us” theme but focus on our out of office goals. I will take you on a journey through an ideal “out of office” day for a site meeting, a client meeting or anything else that requires us to be out in the wild.


Hello friends, here is the tale of Blanca and Polli.

They have to go submit plans to the City before heading to a jobsite meeting.

*The day before*

Blanca and Polli are in the office multitasking as they usually do as Blanca looks at the calendar and sees that they have to be out of the office tomorrow.

Blanca: Oh hey Polli, looks like we have a city submittal and then a job site meeting tomorrow. Let’s take some time to prepare.

Polli: Sounds great, let me get any prep material out for us to review what we need.

Polli pulls out a printed checklist for the city submittal.

Polli: Looks like we need 2 set of plans, an application and a list of equipment with the specs printed.

Blanca: Okay great, I will send for the prints now so they are ready to take with us tomorrow and you can get the application and equipment prints taken care of.

Blanca and Polli agree and give each other an awesome strong high-five *CLAP*

Polli: While we’re being amazing, we should plan out our schedule and look up where we are going so we can plan our route accordingly and efficiently!

*RING RING RING* Polli picks up the incoming phone call from a subcontractor that meeting them at the jobsite tomorrow. The subcontractor informs Polli that he can only meet at 10 am.

Polli: Okay, Blanca looks like we need to relook at the schedule because this subcontractor can only meet at 10 am. Let’s divide and conquer then rejoin after!

Blanca: Okay sounds great, I’ll meet the contractor at 10am and you can take the items to the city for submittal. When you are done meet me at the jobsite to finish out the regular scheduled meeting at 11. I’ll also take the project binder with me incase we need to refer to it during the meeting.

Blanca and Polli agree and give each other another awesome strong high-five *CLAP*

It’s a good thing they planned out their day, now they are ready.

The Next Day

Polli goes to the city to submit the plans and because she was well prepared everything goes smoothly and the city is impressed with how she had everything needed to submit. As she finishes, she gets into her car that is not a truck and heads over to meet Blanca at the jobsite.

Blanca is already at the jobsite since she had to meet the subcontractor at 10 am. Their meeting went well and she is ready for the 11 am meeting.

Polli arrives to the jobsite.

Blanca: Hey Polli, how did the submittal go with the city?

Polli: Great! They were kind and very helpful! How was your meeting with the subcontractor?

Blanca: Good as well, we cleared up any questions he had! Okay let’s go inside, Bobbin is already in there.

Bobbin, their boss, was inside and waved Polli and Blanca over.

Oh, hello Bobbin!

Bobbin: Hey girls, come over here I have something for you before the meeting starts.

Bobbin pulls out a brand new Ipad that has WiFi and is already set up to connect to the office folders. Way to go Bobbin!

Bobbin: Here is an Ipad we can use during the meeting to take notes and photos. We are adding the upper level to the scope of work so please go photograph it and we’ll be up there soon to discuss what the client wants to do.

With twinkles in their eyes, Blanca and Polli go to the upper level and begin photographing everything. I mean all of it, every wall and corner, ceiling and threshold. They even take a video walking around to capture the whole space. Not a single area was left undocumented.

Polli: Blanca, here why don’t you take notes as the meeting is happening so the meeting minutes are typed and will easier to send out.

Blanca gladly takes the Ipad and begins taking notes during the meeting as well as adding any photos or sketches of what is being talked about.

And just like that, Bobbin, Polli and Blanca have a smooth and effective Out Of Office Day!
