Tips & Tricks: A Successful Zoom Call

Hello Friends!

We are ready to wrap up the month of September with one last Tips & Tricks post: Ways to have a successful Zoom call. With the pandemic slowing down, people have returned to the office and returned to somewhat a “normality.” But many things have stuck around even returning to the office, video conferencing meetings is definitely one. People are busy and not always right around the corner so this is a great way to discuss progress on projects or review key items.

We’ve decided to share a couple of tips & tricks to help make every conference call a successful one!

1. Zoom Invitations

We discovered that not everyone uses Outlook (*GASP*) and so when sending out the invite for a future meeting, the ā€œother calendarā€ Ā option makes compatible for more users using different calendar systems.

2. Preparation

Make sure to check and test your headphones/ headsets if using them. That your mic is working or charged (if wireless) and have any documents that are going to be referred to open in the background for easy access.

3. Be Camera “Ready”

It’s good to be camera ready.. probably best to have a shirt on (pants are optional unless you plan to stand up at some point). Backgrounds are fun too but make sure to use them appropriately. Read the zoom room, and switch off immediately if you getting weird looks for being the only one that is a cat in outer space.

4. Multiple User Share Screen

As the host you can allow other team members to share their screen which can be helpful when they keep referring to a plumbing fixture on their screen.

5. Annotate Button

Only the mouse of the person hosting is visible to the group so this tool allows other team members to annotate what their finger is trying to draw on their screen.

6. Mute Button

With many people still working from home you may not want the team to hear your toddler asking you questions about everything in the room or your dog barking at the mail man. Also, if you are eating during the meeting or aren’t great at holding back your “sighs” and “ughs” then this button is your friend.
